[Start Here] The 5-Minute Guide to Your First AI Inspection

Hi everyone, and welcome to the SwiftReporter community! :waving_hand:

We are seeing a lot of new faces here. Whether you are migrating from Spectora or starting fresh, we want to help you cut your reporting time in half.

If you haven’t run an inspection yet, here is the “Power User” workflow to get you to your “WOW” moment as fast as possible.

1. The “World First” Template Builder: Don’t waste hours building templates manually. Go to the AI Template Builder, describe what you need, and let our AI generate a custom template in seconds. (Note: You can still import existing templates or use pre-built ones in the ‘Templates’ tab).

2. The “No-Typing” Inspection: When you start your inspection, try to avoid typing as much as possible. Instead, use the AI Magic Summarize Wand:

  • Tap “Add Voice Note” and speak your observation.

  • Hit the Magic Wand.

  • Watch it turn your rough notes into a detailed, client-ready description.

3. Build Your Asset Library (Crucial Step!): Once the AI writes that perfect comment—Save it to your Library immediately.

  • Why? Because next time you see that defect, you won’t need to speak or type. You just search your library and drop it in. This is how you speed up over time.

4. Let the Camera Do the Work: Use our Auto-Detect Defects feature when taking photos. It highlights issues automatically, so you spend less time drawing circles and arrows.

Give it a try and let us know below: Which feature saved you the most time on your first run?

Happy inspecting! The SwiftReporter Team

hey guys, this is super helpful. i’m pretty new and trying to get my first ai inspection down. quick question. do you guys have a “minimum” number of photos per area for it to work well? and do you usually do notes first, or take photos first and let the app build the comments? also can you tweak the wording after it generates stuff so it matches your style? thanks a ton, i’m excited to try this on my next job.

Hey Ben! Welcome to the community! It’s awesome to have you on board. Transitioning to an AI-driven workflow is a game-changer once you find your rhythm. To answer your questions:

  • Photos per area: There’s no hard “minimum,” but for the Auto-Detect to work its best magic, clarity is king. One solid, well-lit shot of the defect is usually enough for the AI to identify it. If it’s a complex area (like a crowded electrical panel), feel free to take a couple of angles; the AI will help you pinpoint the issue with the Mark Up tools regardless.

  • Notes vs. Photos: Most of our power users prefer the “Photo First” or “Simultaneous” approach. Snap the photo to let the AI start identifying the defect, then use Voice Notes to add context. Since the AI turns your “grunts” and quick observations into polished narratives instantly, you don’t need to worry about formal note-taking while you’re walking the property.

  • Style Tweaking: Absolutely! This is a core part of the “Build Your Library” feature. Once the AI generates a comment, you can edit the wording to match your specific “voice.” If you save that edited version to your Library, the app remembers your style. The goal is that you never have to type (or edit) the same defect twice!

Good luck on that next job! Lean on the Magic Summarize sparkle—it’s a lifesaver when you’re in the crawlspace or attic.

Let us know how it goes!
